The American College Of Physicians Adopts A Healthy Approach To Job Management

The American College of Physicians (ACP) is the nation’s largest medical specialty society. Its mission is to enhance the quality and effectiveness of healthcare by fostering excellence and professionalism in the practice of medicine. ACP’s graphic services department is responsible for creative, prepress and print management for the majority of the printed promotional and educational materials ACP relies on to help carry out its mandate.

As the department’s workload continued to grow, Mike Ripca, ACP’s Graphics Technical Administrator, and his colleagues knew they needed a more efficient way to manage their projects. Of particular concern was the amount of rekeying of information that was routinely required as projects moved through their life cycle, including manual entry of data into ACP’s accounting system at the end of each job. As well, the graphic services department was interested making the approval process for proofs more efficient and replacing its paper job tickets, used by its customers to request the department’s services, with a digital workflow. After investigating other options, Workgroups DaVinci, designed specifically for the needs of marketing and creative teams, stood out as the best solution for the department’s goals.

“We looked at a number of solutions, but none of them were designed for the graphics industry the way Workgroups is and none of them fit our needs as well,” said Ripca.

The department opted to begin by implementing Workgroups’ project management functionality, which delivered an immediate boost to the efficiency of the graphic services team’s workflow. Designers and project managers were able to collect all job-related information such as time tracking, materials and expenses associated with vendors in a single place, which decreased the need for time-consuming rekeying.

Ripca is now working with our Professional Services team to further customize Workgroups to ACP’s needs. He feels that partnering with MetaCommunications and investing in Workgroups DaVinci proved to be just the cure ACP had been seeking.
